Fit-Out Drawing Coordination Checklist for GCC Projects

A ceiling bulkhead that conflicts with an AC duct, a stone counter that arrives before its supporting joinery, or a power outlet positioned behind a fixed cabinet can all start as small coordination gaps. On a busy hotel, villa, retail, or commercial project, those gaps quickly become site instructions, material waste, approval delays, and pressure on the program. A disciplined fit-out drawing coordination checklist gives the project team a controlled way to identify issues before fabrication and installation begin.

The purpose is not to produce more drawings. It is to ensure that every approved drawing communicates the same buildable solution to the designer, contractor, joinery manufacturer, MEP subcontractors, and site team. The right level of coordination depends on project complexity, procurement strategy, and site conditions, but the checks below should be completed before drawings are released for construction or fabrication.

Start With a Controlled Drawing Base

Coordination cannot be reliable when teams are working from different revisions. Confirm the current architectural background, interior design package, reflected ceiling plan, MEP layouts, structural information, and authority requirements before detailed fit-out drawings are developed. Each discipline should have a clear revision status and issue date.

The drawing register should identify what has been received, what is under review, what remains outstanding, and which information has been superseded. This is particularly important where a design package is issued in stages or where operator requirements evolve during construction. A technically accurate detail based on an outdated plan is still a site risk.

At this stage, verify the site survey information as well. Existing walls, slab levels, columns, openings, and service routes may differ from tender documentation. For refurbishment projects, field verification is often as important as the consultant drawings. Dimensions that affect built-in joinery, stone work, glazed partitions, doors, and ceilings should be checked against actual conditions before materials are ordered.

Fit-Out Drawing Coordination Checklist: Plans and Dimensions

Plans establish the setting-out logic for nearly every trade. They must communicate more than furniture positions or room layouts. They need to define the finished construction line that installers can measure from on site.

Review room names, numbers, grid references, floor levels, wall types, and setting-out dimensions across all plans. Confirm that the dimensions shown are not duplicated inconsistently between architectural, interior, and joinery drawings. When dimensions conflict, the hierarchy for resolving them should be agreed before release.

Check clearances around doors, circulation routes, accessible areas, service panels, appliances, and loose furniture. A reception desk can match the visual concept yet fail operationally if its back-of-house access, cable route, or staff clearance has not been coordinated. In hospitality and retail environments, circulation requirements may also be affected by operator standards, fire strategy, and local authority provisions.

For joinery, identify the exact relationship between cabinets and surrounding finishes. Drawings should confirm whether dimensions are taken to structural walls, blockwork, finished plaster, tile face, stone face, or timber cladding. This distinction prevents a common site problem: a cabinet fabricated to a nominal wall dimension that no longer fits after finish build-ups are applied.

Coordinate Joinery With MEP Services

MEP coordination is where visually refined interiors can become difficult to install. Every fixed joinery item should be reviewed against electrical, plumbing, HVAC, fire protection, low-current, and AV requirements. The coordination must cover both visible items and concealed services.

For each cabinet, counter, vanity, pantry, bar, display unit, and feature wall, confirm the location of power outlets, data points, switches, drivers, transformers, access panels, plumbing connections, drain points, and equipment ventilation. Show the mounting height and reference point, not just a symbol on a plan. If an outlet sits inside a cabinet, state whether it is for an appliance, maintenance access, or general use.

Ceiling coordination requires the same discipline. Compare ceiling levels, bulkhead depths, curtain pockets, access panels, light fittings, linear diffusers, sprinkler heads, smoke detectors, speakers, and CCTV locations. A reflected ceiling plan should be coordinated with actual MEP routes, not only with the designer’s intended arrangement. Where congestion is expected, sections are more useful than assumptions.

There are trade-offs to manage. Moving a service point may protect a clean design line but increase cable or duct routing. Retaining a planned feature may require a deeper bulkhead or a custom access solution. The correct decision depends on safety, maintenance access, cost, and the design priority, but it should be documented before installation rather than resolved by compromise on site.

Confirm Elevations, Sections, and Interface Details

Plans alone do not explain how fit-out elements meet. Elevations and sections should be checked as a coordinated set, with consistent dimensions, levels, material references, and component names. Every critical interface should be buildable without relying on verbal interpretation.

Review the junctions between joinery and ceilings, floors, wall finishes, glazing, metalwork, stone, and doors. Confirm shadow gaps, skirting details, trims, sealants, substrate requirements, fixing zones, and tolerances. A feature wall elevation may look complete, for example, but the fabrication drawing must establish panel module sizes, joint locations, backing construction, fixing method, and access to concealed equipment.

Wet areas require additional attention. Verify waterproofing extents, floor falls, tile setting-out, drainage, vanity support, sanitaryware clearances, mirror fixing zones, and access to valves or traps. In a high-use hotel bathroom or food service pantry, maintainability is not optional. Drawings must allow facilities teams to reach essential components without damaging finished work.

For doors and partitions, coordinate opening sizes, frame types, ironmongery, fire ratings, acoustic requirements, glazing details, and adjacent finishes. A change to a door frame depth can affect wall panel modules, skirting returns, electronic access control, and ceiling closure details. These interfaces should be resolved through sections and enlarged details, not left to site measurement.

Validate Materials, Finishes, and Fabrication Information

Finish schedules and shop drawings must use the same references. Confirm material codes, colors, thicknesses, grain direction, edge treatments, finish levels, and approved samples. Where a material is discontinued or has a long lead time, the replacement must be reviewed for its dimensional and visual impact, not simply its color match.

Fabrication information should state what the workshop needs to produce the item correctly: board specification, laminate or veneer, metal gauge, stone thickness, hardware, hinges, drawer runners, locks, LED profiles, ventilation grilles, and fixing requirements. Where mockups are required, identify which details must be approved before batch production proceeds.

Tolerance is a practical consideration. Natural stone variation, timber movement, uneven existing walls, and ceiling deflection can affect final alignment. Drawings should distinguish between fixed dimensions and site-measured dimensions, particularly for countertops, cladding panels, glass, and infill pieces. This protects both the design intent and the fabrication program.

Review Constructability, Sequence, and Access

A coordinated drawing is not complete until it can be installed in the planned sequence. Check whether large components can enter the building, pass through corridors, and reach their final location. Confirm lifting routes, installation clearances, ceiling closure sequence, and dependencies between trades.

Consider which works need to happen first. Wall backing, MEP rough-ins, waterproofing, floor finishes, framing, and ceiling services may all need completion before final joinery installation. If a component needs to be removed for maintenance, confirm that its route remains available after adjacent finishes are complete.

This review should also address temporary protection. High-value finishes installed too early can be damaged by subsequent ceiling, flooring, or MEP works. In some projects, phased installation is the best protection for quality, even if it requires more detailed logistics planning.

Close Comments Before Release

Coordination meetings are useful only when comments are assigned, tracked, and closed. Record each issue with its drawing reference, responsible party, required action, target date, and final resolution. Verbal decisions should be reflected in revised drawings and revision clouds where appropriate.

Before issuing the final package, complete a last review for drawing titles, scales, legends, dimensions, references, approval status, and consistency between plans, elevations, sections, schedules, and details. The package should make clear what is for construction, what is for fabrication, and what still requires confirmation.
